# Lumberjacking Weekly Operations Manual This is the living operating manual for the weekly maintenance of the proofreaders’ scheduling and accounting sheet, `služby korektori`, in the workbook `plánovanie, služby a kontakty`. Each section is added or revised after performing the corresponding real weekly operation. --- # 1. Create the New Weekly Accounting Column ## Timing Perform on **Tuesday evening or Wednesday morning**, before the schedule grid for the following week is created. The incoming week always becomes the new **column M**. The previous current week shifts from M to N, the previous week from N to O, and all older accounting columns move right. ## Procedure 1. Read the live sheet first. Inspect at least: - `M1:N19`; - current quota column and row-17 total; - `K17`; - spreadsheet metadata. 2. Insert **one entire new column at M**. 3. Copy **formatting only** from shifted `N1:N19` into `M1:M19`. 4. Enter the incoming week number in `M1`. 5. Leave `M2:M16` genuinely blank. Critical distinction: - **blank** = colleague has not yet reviewed/settled the incoming week; - **0** = colleague has settled the week and is exactly on quota. 6. Enter the ordinary checksum formula in `M17`: `=(sum(M2:M16,-M19)-(K17-QUOTA17)-M18)` 7. Preserve the checksum visual distinction: - only `M17` uses the conspicuous purple current-week style; - after the old M moves to N, copy ordinary historical checksum formatting from a peer such as `O17` onto `N17`; - copy formatting only, never its value or formula. 8. Leave `M18` blank unless a real weekly adjustment applies. 9. Leave `M19` blank unless established workflow requires a value. ## Exceptional checksum corrections If a week requires a one-off correction, add it as another argument inside `SUM`. Example: `=(sum(M2:M16,-M19,-6)-(K17-QUOTA17)-M18)` Do not leave a dangling comma after `-M19`. ## Row 18 If nonzero: - print-substitution adjustment: established **black** treatment; - holiday/reduced-week adjustment: established **red** treatment. Otherwise keep blank and white. ## Verification Confirm: - incoming week is in M; - `M2:M16` are genuinely blank; - `M17` is correct and purple; - `N17` has historical styling; - older weeks moved right intact; - quota column shifted correctly; - quota total is unchanged; - total spreadsheet column count increased by exactly one. --- # 2. Create the New Weekly A Schedule Grid ## Timing Perform on **Wednesday evening or Thursday morning**, after the new accounting column exists. The incoming week becomes `A1:I9`. ## Pre-insertion checks Inspect: - `A1:I18`; - feedback roster in J; - planned vacations/leave in J; - whether the incoming week has a holiday, election, reduced schedule, or another structural exception. ## Structural insertion Insert a **9-row-high range in A only** at the top, shifting rows downward. Do not insert nine entire spreadsheet rows. Afterwards: - old current week → `A10:I18`; - previous week → `A19:I27`. ## Formatting Copy formatting only from shifted `A10:I18` to `A1:I9`. Normalize `B2:H8` to: - white background; - 10 pt font. This prevents old exceptional colors or reduced font sizes from contaminating the new week. ## Ordinary headers - A1 week number - B1 `ráno` - C1 `6.00 – 12.00` - D1 `12.00 – 16.00` - E1 `príslužba (8 – 21)` - F1 `príslužba II` - G1 `16.00 – 21.00` - H1 `noc` - I1 `Dovolenka/voľno` ## Empty-grid semantics Do not repeat standard time hints where the header already defines the slot. ### B Monday–Saturday: `----------------` Sunday remains blank because it is the special/intermittent morning shift. ### C - Mon–Fri: 6–12 → blank - Sat: 8–12 → `(8 – 12)` - Sun: 10–12 → `(10 – 12)` ### D Daily 12–16. An entirely empty standard D cell stays blank. ### E - Mon 10–20 → `(10 – 20)` - Tue 9–20 → `(9 – 20)` - Wed–Fri 8–21 → blank - weekend → separator ### F Flexible duration requirement: - Mon 2 h - Tue 3 h - Wed 4 h - Thu 4 h - Fri 3 h Typical template hints: - Mon `(15 – 17)` - Tue `(15 – 18)` - Wed `(15 – 19)` - Thu `(15 – 19)` - Fri `(15 – 18)` Weekend → separator. F is **duration-based**, not continuous-coverage based. ### G - Mon–Fri 16–21 → blank - Sat 16–19 → `(16 – 19)` - Sun 16–21 → blank ### H Leave blank. Expected/default night minutes are accounting assumptions only; actual minutes are entered retrospectively. ## Full-slot bare-name rule If one person covers the entire standard slot, their bare name is sufficient. Examples: - `Lenka V.` in a full Friday G slot; - `Ľubo` in Sunday G; - `Alex` in a full D slot. Do not add redundant times. If the slot is shared or deviates from the standard interval, use explicit times. ## Default pudding Initial starting values: - Mon E: about 130 spaces - Tue E: about 132 spaces - Mon–Fri F: about 30 spaces - Sat C: about 84 spaces - Sun C: about 82 spaces - Sat G: about 68 spaces These are starting positions only. The human operator may visually adjust them after creation so that the closing parenthesis sits sensibly near the right edge of the cell. ## Leave notes Only include leave that overlaps the incoming week. Use: - `streda – nedeľa` when the absence starts and ends inside the week; - `od ...` / `do ...` if it crosses the weekly boundary. Parenthetical timing is italic. ## Feedback and reserves - I6 `Spätná väzba:` - I7 feedback reserve - I8 `Voľné hodiny:` If the preceding week has not yet been wrapped: - I7 stays blank; - I8 contains only `Voľné hodiny:` without a number. Do not copy old reserve figures prematurely. ## Spacer row `A9:I9` remains blank. --- # 3. First Preliminary Coverage and Accounting Audit ## Timing Perform after the first substantial batch of colleagues has entered shifts, normally **Thursday night / Friday morning**. ## Scope Audit: 1. schedule coverage; 2. time-range typography; 3. spacing; 4. uncovered intervals; 5. first-pass pudding; 6. numeric M balances; 7. feedback/print credits where relevant. ## Live read Inspect: - `A1:I9`; - `M1:M19`; - quota column; - feedback roster; - print-substitution area. ## Typography Convert ASCII hyphens inside time ranges to en dashes. Example: `13 - 18` → `13 – 18` Never alter the literal separator: `----------------` Clean accidental: - doubled spaces around names; - missing ordinary spaces; - trailing spaces. ## Coverage logic A work cell is: - **white** when fully satisfied; - **pale green** when any required part is uncovered. Pale green RGB: `0.8509804, 0.91764706, 0.827451` Sunday B is a real special slot and is pale green while unclaimed. Weekend E/F separators remain white. ## Uncovered intervals For a partially covered cell: 1. preserve valid assigned intervals; 2. calculate every remaining gap; 3. insert gaps chronologically; 4. use en dashes; 5. add initial pudding. Do not add redundant hints to wholly blank standard cells. ## First-pass pudding This is the **one weekly audit** during which automatic pudding normalization is allowed. Typical starting point: - ordinary placeholder: approximately 30 ASCII spaces; - narrow D cell with several gaps: approximately 15 spaces per placeholder. After this audit, the automatic first-pass pudding allowance is considered **consumed**. ## Accounting reconciliation For every colleague with a numeric M cell: 1. total current scheduled work; 2. compare with quota; 3. include preliminary special-shift credits; 4. include feedback credit; 5. include print substitution where applicable; 6. verify the displayed balance. ### Preliminary special-shift defaults Until actual minutes are known: - Mon–Wed night: 60 min - Thu–Sat night: 90 min - Sun night: 60 min - Sun special morning: 30 min Actual minutes replace these defaults at completed-week wrap-up. ## Feedback accounting A colleague completing a two-week feedback round receives **5 accounting hours in each week** of that round. ## Blank versus zero Never convert untouched blanks into zeros. ## Checksum `M17 = 0` does not prove the grid is fully covered while some colleagues remain blank. Coverage and accounting are separate audits. --- # 4. Later-Week Audit and Padding Preservation ## Timing Perform on **Friday night / Saturday morning** and later as necessary. ## Re-check all settled colleagues Do not inspect only newcomers. A previously settled colleague may later: - move a shift; - extend or shorten one; - exchange work; - overwrite an uncovered placeholder; - alter their balance. At every later audit: 1. identify all numeric M cells; 2. independently reconcile every one again; 3. use the current grid, not conclusions from the previous audit. ## Preserve mature pudding After the first audit and human visual adjustment: **existing genuine pudding is authoritative.** Do not automatically normalize it back to 30 spaces or any other standard. Different cells may legitimately contain different amounts. ## When padding may still be repaired Automatic padding intervention is allowed only when later editing has clearly damaged the structure. Examples: - a colleague overwrites a placeholder and leaves another interval uncovered; - a new uncovered interval appears; - a placeholder disappears but the slot remains incomplete. Repair only the damaged/new placeholder. ## Accidental spacing remains correctable Pudding protection does not protect ordinary typographical debris. Freely correct: - doubled spaces around names; - missing normal spaces; - trailing whitespace; - unwanted single leading space before a person’s name. ## Recheck typography New edits may reintroduce ASCII hyphens. Correct them again. ## Re-evaluate coverage from scratch A later edit may change a cell: - green → white when fully covered; - white → green when a new gap appears. Never rely solely on yesterday’s color. ## F remains duration-based Judge F by total required duration. Example: `Zuzka Kas. (13 – 15), Dana (16 – 17)` contains 3 hours of work. If Friday F requires 3 hours, it is complete even though nobody covers 15–16. ## Accounting Reconcile every numeric M balance against: - current assignments; - quota; - preliminary special defaults; - feedback; - print substitution. ## Checksum Verify M17 after all individual balances. A negative checksum may be legitimate while the week remains unfinished. --- # 5. Near-Final Sunday Coverage and Accounting Audit ## Timing Perform on **Saturday night / Sunday morning**, near the end of the Saturday night shift. ## Core principle The schedule and accounting must be checked **independently**, then compared. The grid asks: > How many required hours are actually still uncovered? Column M asks: > What is the collective balance of currently settled colleagues? They may differ while some colleagues remain unsettled. Do not force them to agree artificially. ## Re-read the whole state Inspect: - `A1:I9`; - `M1:M19`; - quota column; - feedback roster; - print substitution. ## Reconcile every numeric balance For each numeric M cell: 1. total current daytime work; 2. add preliminary special-shift credits; 3. include feedback; 4. include print substitution if applicable; 5. compare with quota; 6. verify M. Leave unsettled colleagues blank. ## Count uncovered hours, not green cells For every pale-green cell: 1. identify the uncovered interval; 2. calculate its duration; 3. total all remaining gaps. Number of green cells does **not** equal number of uncovered hours. ## Require exact coloring logic At the near-final stage: - every pale-green work cell must represent a real uncovered requirement; - every real uncovered requirement must be pale green; - complete cells must be white; - stale placeholder text must disappear when coverage is filled. ## Preserve mature pudding Near the end of scheduling, changes should be conservative. Do not alter existing visual padding unless a later edit damaged it. ## Special accounting remains preliminary Until the week itself has ended, use expected special-shift defaults. Actual minute figures belong to the completed-week wrap-up. ## Checksum interpretation Verify M17 only after all numeric cells have been reconciled. Do not manipulate balances merely to make the checksum match visible uncovered hours. If the two happen to agree, treat that as corroboration. --- # 6. Completed-Week Wrap-Up and Reserve Accounting ## Timing Perform after the **Sunday night shift has ended**, normally during the night from Sunday to Monday or at Monday dawn. This is the final weekly operation. At this stage the completed week is historical and its accounting must be converted from preliminary assumptions to actual results. The next week is simultaneously the live week. ## 6.1 Check the incoming week before touching the completed one Before beginning the historical wrap-up, perform one final sanity check of the incoming week. Inspect: - its current coverage; - all numeric M balances; - M17. If a known stale accounting cell causes the incoming checksum to disagree with the live schedule, fix that first. Do not mix a known Week 45 error into a Week 44 wrap-up merely because both are visible at once. ### Week 45 example before the Week 44 wrap-up The live checksum showed: `M17 = -2` while only one required hour remained uncovered. Independent reconciliation found: - Ľubo’s `+2` was correct; - Lenka K. was showing `0` but had only 8 h against a 10 h quota → **should be** `**-2**`; - Miška was showing `0` but had 3 h scheduled against a zero quota → **should be** `**+3**`. Net correction: `-2 + 3 = +1` Therefore: `M17: -2 → -1` The incoming week then correctly reflected its single remaining uncovered hour. ## 6.2 Freeze preliminary assumptions and use actual completed data For the completed week, stop using preliminary special-shift defaults. Read actual minute values from: - nightly H cells; - Sunday/intermittent B cell; - any other special-shift location established by the schedule. Use **actual minutes exactly as recorded**. Do not round each special shift separately. ## 6.3 Recalculate every colleague’s completed-week total For each colleague: 1. total all final daytime C work; 2. include any legitimate work outside the usual slot window; 3. include actual special-shift minutes; 4. include feedback credit; 5. include print-substitution credit where applicable; 6. sum the entire weekly total; 7. round the final weekly total **once** to the nearest quarter-hour; 8. subtract quota; 9. write the final balance into the historical accounting column. ### Important Do not assume preliminary balances remain correct. Late schedule changes and actual special minutes can change historical balances. ## 6.4 Count all genuine scheduled work Actual scheduled intervals count even when they extend beyond the nominal standard slot. Example: `Ľubo (20 – 21.30)` counts as 1.5 h, not 1 h merely because the standard G slot nominally ends at 21:00. Likewise fractional entries such as: `Veronika (20.25 – 21.10)` count according to their actual duration. ## 6.5 Final special-minute calculation Special shifts are summed in minutes. Only the combined weekly total is then converted/rounded as required. ### Week 44 actual special minutes Night shifts: - Monday: 84 min - Tuesday: 78 min - Wednesday: 119 min - Thursday: 82 min - Friday: 144 min - Saturday: 121 min - Sunday night: 70 min Sunday intermittent morning: - 58 min Total: `84 + 78 + 119 + 82 + 144 + 121 + 70 + 58 = 756 min` Therefore: **756 min = 12 h 36 min** These actual 756 minutes replace the preliminary expected special total. ## 6.6 Final Week 44 balance corrections The completed-grid reconstruction showed three stale balances. ### Veronika Final work included a 45-minute fractional shift that had not been reflected in the preliminary balance. Historical balance: `0 → +0.75` ### Alex / vlčí Sarkofážňik Daytime work: 6 h Actual special work: 12 h 36 min Combined: 18 h 36 min Round the final weekly total once to nearest quarter-hour: 18.5 h Quota: 17 h Final balance: **+1.5** Historical balance: `+0.5 → +1.5` ### Lenka V. Final actual scheduled daytime work totaled: 21.5 h Quota: 10 h Final balance: **+11.5** Historical balance: `+11 → +11.5` ## 6.7 Final completed-week checksum After all final individual balances are written, verify the historical checksum formula. For Week 44 the final balances were: - Maja 0 - Dana -24 - Sisa 0 - Veronika +0.75 - Daniela 0 - Zuzka Kas. +5 - Lenka K. +1 - Jana 0 - Ľubo +1.5 - Alex +1.5 - Lenka V. +11.5 - Zuzka Kub. +1 - Kika +6 - Lenka F. 0 - Miška +2 Final checksum: **+6.25** Do not force the historical checksum to any preferred target. It is the arithmetic result of the final balances and legitimate weekly adjustments. ## 6.8 Feedback credit The feedback assignee receives **5 accounting hours per week** during the two-week round. This credit belongs in individual accounting. It is distinct from the feedback reserve itself. For Weeks 44–45: Jana receives 5 h in Week 44 and 5 h in Week 45. ## 6.9 Feedback reserve The feedback reserve receives: **+3 h per week** A completed two-week feedback round costs: **10 h** ### If the round is not complete Simply roll the reserve forward with the weekly +3. Week 44 started with: 10 h After Week 44: `10 + 3 = 13` Therefore Week 45 receives: **13 h** ### If the two-week round has just completed 1. add the weekly +3; 2. deduct the completed round’s 10 h; 3. inspect the remaining balance; 4. if the remaining feedback reserve is below 10 h, transfer only the shortfall from the general reserve; 5. the transfer is earmarking, not additional work expenditure. Example from the earlier Week 43 close: - incoming reserve plus weekly credit = 16 - completed round deduction = 10 - remaining = 6 - required starting reserve = 10 - transfer from general reserve = 4 New feedback reserve = 10. ## 6.10 General bonus reserve The general reserve receives: **+15 h per week** Then deduct: 1. actual special-shift work; 2. daytime C work above the standard **173 h baseline**; 3. any transfer to the feedback reserve. Print-substitution work does **not** reduce the general reserve. ## 6.11 Daytime excess calculation Sum all actual scheduled work in columns C. Do not use the checksum for this calculation. Do not count feedback accounting credit as C work. Do not count special night/Sunday-morning minutes in C. For Week 44: Actual C scheduled time: **175.75 h** Standard baseline: **173 h** Excess: `175.75 - 173 = 2.75 h` ## 6.12 Combine reserve deductions before rounding General-reserve deduction: - daytime excess: 2.75 h - actual specials: 12 h 36 min = 12.6 h Combined: `2.75 + 12.6 = 15.35 h` 15.35 h = **15 h 21 min** Round the **combined deduction once** to the nearest quarter-hour: **15.25 h** Do not round the components separately. ## 6.13 Week 44 general-reserve result Starting Week 44 reserve: **305.5 h** Weekly addition: **+15 h** Rounded Week 44 deduction: **-15.25 h** No feedback transfer was required because the two-week feedback round was not yet complete. Therefore: `305.5 + 15 - 15.25 = 305.25` New Week 45 general reserve: **305.25 h** Display: `Voľné hodiny: 305 ¼` ## 6.14 Historical rollover of reserve cells Once a week is completed, its live reserve figures should no longer remain displayed as current balances. ### Historical feedback cell Replace live figure with: `— (—)` Use the normal historical white style. ### Historical general reserve cell Replace live figure with: `Voľné hodiny: —` Keep the established historical general-reserve styling. ### Incoming/live feedback cell Write the newly rolled balance in the familiar form: `13 >>> detaily v stĺpci vpravo` Formatting: - number: 10 pt - suffix beginning after the number: 8 pt - established light-blue feedback-reserve background ### Incoming/live general reserve Write: `Voľné hodiny: 305 ¼` Use established yellow/bold live-reserve styling. ## 6.15 Clean the completed grid before leaving it historical The wrap-up is also the final opportunity to remove genuine typographical residue. Correct: - ASCII hyphens inside times; - missing normal space after an abbreviated name; - accidental double spaces; - stray leading/trailing whitespace. Do not redesign historical content. ### Week 44 cleanup example This: `Zuzka Kub.(13 - 14)` was corrected to: `Zuzka Kub. (13 – 14)` ## 6.16 Final verification checklist Before declaring the weekly wrap-up complete, verify all of the following: ### Incoming week - live coverage status is correct; - all settled balances are correct; - M17 is correct; - unresolved gaps remain visibly pale green; - reserve figures have been rolled forward. ### Completed week - every individual balance was recalculated from final data; - actual special minutes replaced preliminary defaults; - final weekly totals were rounded only once; - historical checksum is correct; - feedback credit was included correctly; - print credits, if any, were included correctly; - reserve calculations used actual minutes; - C excess was calculated against 173 h; - combined reserve deduction was rounded once; - feedback reserve was advanced correctly; - any necessary feedback transfer was deducted from general reserve; - historical reserve cells were reset; - final cosmetic anomalies were cleaned. ### Structural - no unrelated columns or tabs were changed; - accounting history remains intact; - current-week purple checksum remains unique; - historical checksum remains in subdued historical styling. --- # Normal Weekly Cycle The complete normal weekly maintenance cycle is now: 1. **Tuesday evening / Wednesday morning** Create the new weekly accounting column M. 2. **Wednesday evening / Thursday morning** Create the new A weekly schedule grid. 3. **Thursday night / Friday morning** Perform the first preliminary coverage and accounting audit. 4. **Friday night / Saturday morning** Perform the later-week audit and preserve mature pudding. 5. **Saturday night / Sunday morning** Perform the near-final coverage and accounting audit. 6. **Sunday night / Monday morning** Perform the completed-week wrap-up, actual-minute accounting, reserve rollover, historical cleanup, and final verification. This completes the normal weekly Lumberjacking workflow.
